The four ways answering services charge
Per minute
You buy a bundle of minutes each month and pay a rate for anything over. Ruby and PATLive price live answering this way. Per-minute pricing is fair when calls are short, and it adds up when callers talk for a while, like a homeowner describing storm damage room by room.
Per call
You pay for a set number of calls, whatever their length. Smith.ai prices both its live and AI receptionists this way. Per-call pricing is predictable when calls run long, and costly when many calls are short, like a supplier confirming a delivery.
Flat monthly with a large allowance
One monthly price covers a big allowance, with a low rate for anything over. AI Bot Store works this way: $300 a month includes 1,000 call minutes, and extra minutes are $0.25 each, added to the next monthly invoice. Every answered call counts, measured by the second, so partial minutes aren't charged. Unused minutes don't carry over.
Per caller or per lead
Some services charge by unique caller or by qualified lead instead of by call or minute. Before you sign, ask exactly how they define a lead and how repeat callers, hang-ups and spam are counted.
Live receptionists vs AI receptionists
A live answering service puts a trained person on the line. Live services commonly offer extras such as transferring a caller to you mid-call or booking appointments, and a person can handle an unusual conversation. You pay for that: the live per-call and per-minute rates in the table below run several times higher than the AI rates.

Ruby's pricing page doesn't list a rate for minutes beyond your plan, so ask before you sign up. PATLive's page estimates its 200-minute plan at about 80 calls and notes that its prices don't include taxes and fees. What's usually extra
- Overage. This is the biggest variable. On the plans above, extra usage runs from $0.25 a minute (Taylor) to $1.99 a minute (PATLive), and from $2.17 to $11.50 a call (Smith.ai). A busy month that runs 200 minutes over costs $50 extra on Taylor and $398 extra on PATLive's 200-minute plan.
- Setup fees. Smith.ai and Ruby both say on their pricing pages that they charge no setup fees, and AI Bot Store has no setup fee either. Ask any other service directly.
- Contracts and notice. Smith.ai says its services are month-to-month; its AI receptionist page asks for 30 days' notice to cancel. AI Bot Store has no contract, and you can cancel anytime from Setup, then Manage subscription.
- Taxes and fees. PATLive notes that its prices don't include taxes and fees. Ask every vendor what the bill looks like once those are added.
- Features by plan. Transfers, scheduling, bilingual answering and CRM connections can be included, limited or extra depending on the plan. Smith.ai's live Starter plan, for example, includes one free transfer destination.
- Trials and guarantees. PATLive offers a 14-day free trial. Smith.ai's live plans come with a 30-day money-back guarantee that doesn't cover overage. AI Bot Store has a 14-Day Satisfaction Guarantee: if you're not satisfied within 14 days of signing up, ask and you get back everything you've paid.
How to estimate your own monthly cost
- Count your calls and minutes. Pull two or three months of call history from your carrier or phone app. Note the number of calls and, if you can, the total minutes.
- Decide which calls go to the service. With conditional forwarding you can send only the calls you miss, not every call. See how to forward unanswered calls.
- Price each plan at your volume. Include overage for your busiest month, not just an average one.
- Add what the service won't do. If a plan doesn't transfer calls or book appointments, you'll handle those on the callback. If it does, check whether that costs extra.
For Taylor, the math is short. If your forwarded calls average three minutes, 1,000 minutes covers about 330 calls a month before any extra minutes. Each receptionist answers up to 5 calls at the same time and up to 150 calls a day.
Compared with hiring a receptionist
The Bureau of Labor Statistics puts median pay for receptionists at $38,010 a year, or $18.27 an hour, as of May 2025 (BLS).
